Project creep, slippages, daily schedules, and to-do lists seem to get lengthier and more demanding every day. Simply looking at your to-do list can be somewhat consuming and makes you wonder whether you can complete all your tasks in any amount of time.
It raises the question of how do I become a better time manager? There is no shortage of mediums designed to boost time management, from books right down to mobile apps. Yet, individuals and businesses alike find it difficult to improve their time management skills.
Luckily, there is an array of insightful research that highlights the skills that supports time management. According to a recent study, the three skills that draw the line between success and failure are:
· Awareness- Recognizing that time is a limited resource. Thus, you need to divide it realistically.
· Arrangement- Strategically organizing your day-to-day goals, tasks, and schedules to maximize time.
· Adaptation- Monitoring where and how you use your time while performing duties and adapt to priorities.
Why is Time Management Important for Business?
Time management is an essential skill for many reasons. It involves trial and error to identify the best strategy to develop evaluation, self-control, planning, and scheduling. Using effective methods and techniques allows you to be even more productive by helping you stay very organized.
A businessperson can never afford to be inefficient or have poor time management skills. Instead, you need to maximize your valuable time and benefit from time management practices.
Companies that leverage effective time management strategies position themselves to deliver high-quality products and services consistently. It also means that they can solve problems and disruptions without letting them impact their day-to-day operations.
Top 6 Ways Prioritizing Time Fast Track Your Company’s Success
Multiple studies prove that productivity leads to profitability, and good time management is necessary to help you manage work more efficiently.
Here is a list of the top six tips and tricks that help you fast track your company’s success:
1. Set SMART Goals
SMART goals are an effective way of adding structure to your time management strategy. The primary purpose of setting SMART goals is to ensure that you attain goals via calculation and critical thinking.
If you want to improve your time management skills, here are some questions you should ask yourself to integrate your everyday tasks into your to-do list:
· Specific - What tasks do I need to accomplish?
· Measurable - How will I measure my progress towards the accomplishment of my tasks/goals?
· Achievable - Is my goal attainable and realistic?
· Realistic - Are my goals within reach, and do they align with my overall priorities. I believe a bit of a stretch should be added on to “realistic” goals to help motivate and inspire you to even greater success.
· Timely - What is my starting date and target date?
2. Allocate Time Frames to Each Task
Implementing effective time management strategies requires you to translate your business strategy into everyday tasks to yield tangible results.
Once you communicate your company’s objective and mission, you can quickly instill time management among your employees. You can achieve this by asking employees to take professional training or formalizing on-the-job training, for example.
Although focusing your time and energy is an incredible way of getting things done, committing all your time to a single task doesn’t ensure success. Tech giants and experts suggest managing your time between three priority tasks. It helps get results faster and distributes energy, focus, and risks among three different assignments. Therefore, by the end of the day, you’ll be able to get three high payoff activities done.
This way, if you fail to achieve your desired result from the first task, you can compensate by dedicating time to get the ideal outcome from the other activities.
3. Set Priorities
Prioritize your tasks and activities on your to-do list to help you stay laser focused on achieving your everyday goals.
While creating your to-do list, ask yourself: what high payoff tasks do I absolutely need to achieve by the end of the day? Categorize your daily tasks as per urgency and importance. Then, start working on them instantly.
This way, if any unexpected action item comes up, you can rest assured your time-sensitive tasks have already been taken care of.
4. Know When to Delegate
As a business owner, your day-to-day schedule is often divided into big-picture commitments and everyday operations.
Therefore, knowing when it’s appropriate to delegate is an intelligent and practical time management skill that helps you save time. It’s the right time to demonstrate your teamwork skills and emphasize their importance for achieving success.
An effortless way to decide what you should and shouldn’t delegate is by estimating the amount of time it would require someone else to complete your task. For instance, you may ask yourself whether you would end up spending more time reviewing their work than doing it yourself. Or would it involve extra training to finish the task?

5. Avoid Distractions
Fine-tune your time management efforts as your company’s success requires sticking to your tasks. Although being a business owner means your schedule needs to be flexible, you need to figure out which tasks you need to achieve.
Plus, you need to avoid distractions and look out for the nasty time wasters like:
· Phone Calls and Messages - As a business owner, you can’t really turn off your phone all the time because you need to be available in case of emergencies. However, you can divert calls to your assistant, who will only knock if it’s absolutely necessary.
· Emails- Working on core activities such as writing a killer report or drafting a comprehensive proposal drives your company forward. However, these tasks can be boring and drive us to indulge in distractions (or client acquisition avoidance activities, as I call them). At times, you might even find yourself surfing the internet to see what others have posted, or doing unimportant activities that can and should be delegated. Unfortunately, it only causes you to waste time on unnecessary activities that aren’t moving your business to the next level. One way to avoid this is by turning off your email alerts and scheduling a time for emails (I recommend you don’t handle emails first thing in the morning, or you can get off track right away.). An excellent solution to this is to give your assistant e-mail access, so that they can address messages for you, so you are only handling the ones of high importance, when you have scheduled to review your email.
· Meetings - Although necessary and unavoidable, each session should have a clear agenda, purpose, and topic. Ideally, whoever calls for the meeting should send a notice beforehand and mention a plan to allow all members to participate in a meaningful way. 6. Take Regular Breaks
You don’t need to work 24 hours per day to achieve more. Research reveals that taking regular breaks is necessary to maximize your productivity.
In addition, taking breaks helps you recover from work stress which, in turn, enhances your performance.
Common Pitfalls of Time Management
From New Year Resolutions to messy timetables, it’s no secret that you can quickly get off track when learning ways to manage your time.
To improve and produce positive time management results, you need to avoid the following pitfalls:
Pitfall # 1- Failing to Create a To-Do List
Here’s the thing: if you don’t know what you need to achieve throughout the day, it’s impossible for you to prioritize your tasks.
Plus, research reveals that up to 70% of people curate to-do lists to complete their most essential tasks on time.
Pitfall # 2- Trying to Become a Jack of All Trades
Contrary to popular belief, multitasking is comparatively less productive than focusing on a task and then hopping onto another task.
According to studies, multitasking can kill your performance and lower your IQ since your attention is split.
Pitfall # 3- Not Identifying How Much Time a Task Requires
Before starting a task, ask yourself: can I write this within an hour, or will it require the whole day? If you can’t figure out how long a task takes, you won’t prioritize your activities.
Bottom Line
Hearing ‘Time is Money’ or ‘You Can’t Get Back the Time You’ve Lost’ can create a sense of urgency and regret. In addition, it does not help you learn how to prioritize and manage your time to fast track your company’s success.
Do an experiment with the tips I just mentioned to help you economize and maximize the potential of the valuable time you have.
"Time is more valuable than money. You can get more money, but you cannot get more time."
