Effective weekly planning, which includes designated planning, focus, and free days, along with strategies like batching tasks and outsourcing, significantly enhances productivity and time management.

  • 🗓️ Weekly planning involves three types of days: planning, free, and focus days, with Mondays designated for strategic planning.
  • 📅 Mondays are for planning, focus days align with strengths, and weekends are free from work.
  • 🚀 Taking a full day off and theming days boosts productivity, while batching coaching calls improves focus.
  • 📅 Batching content and time blocking 90-minute sessions boosts organization and productivity.
  • 🗓️ Scheduling most meetings in the afternoon allows for better focus and productivity in the morning.
  • 🗓️ Meetings can disrupt focus on work, making it essential to manage personal and professional tasks effectively, especially on planning days like Mondays.
  • 🧹 Outsourcing tasks like laundry and cleaning allows for better time management and personal enjoyment.
  • 🗓️ Effective weekly planning enhances productivity, so implement new strategies to optimize your routine.

Strategic Time Management

🗓️Implement a weekly structure with dedicated planning days (Mondays), 3-4 focus days for high-impact work, and free days (Wednesdays) for complete time off.

⏱️Utilize 90-minute time blocks for focused work, scheduling 3-4 blocks per day with minimal distractions to maximize productivity.

🔀Batch similar tasks together on specific days to reduce task switching and maintain a consistent mindset focus throughout the day.

📅Schedule 90% of meetings in the afternoon, reserving mornings for personal work time to enhance overall productivity.

🔄Outsource time-consuming but low-value tasks like laundry (£20-22/week) and house cleaning (£60/visit) to free up time for more important activities.

Morning lads. I was just saying I've been a little bit quieter this morning because Leo is still asleep in the room opposite. What we're going to talk about today is something slightly different, like last, like the last like couple of weeks we've delved into all sorts. Last Friday's call actually was, was it, We were on the call for ages. We're on the call 50 minutes. It was it was good call. We got into some really great conversations. Those hot seats are great.

Today I'm actually going to talk to you about what I am doing this week in terms of how I planned my week and I have the same plan every week. So this is a bit, this is a bit more of a tactical 1 today. All right, Nothing deep, nothing heavy, just some, just some tactics and tools. You may already know these tools you made made already utilize these tactics. But always a good reminder.

I know sometimes I fall off and then someone says to me about a tool I'm not, I was using that not long ago and it was working. Why have I not continued to use that? So I plan my week strategically is like every week. I have three types of days, a planning day, a free day and focus days. All right, So today, Monday, I always have Mondays as my planning days. So I rarely do like deep focus work on on a Monday. I rarely I rarely hate time off on a Monday.

Hello, Leo, you have awoken you all right, mate? That is just on his call with a team. OK, I'll give you a quick hug. All right mate, go eating toys.

So Monday's always planning days for me and what money and what these look like for me is that I will, if I need time to actually plan on what's going on over the week or plan what's going on over the day or plan what's going on the rest of the month, I will be doing it. Then also, if I need to just like cross off admin stuff, you know, there's always admin things to do, particularly if you run a business, even if you don't run a business like like this admin stuff is like my

household admin stuff. Like I've got flights I need, I need to book flights, right? Just do it on Monday. Don't think about it any other time. Just do it today, right? So there's loads about like admin things I've got to get sorted and I'll just, I'll just like, rather than thinking about them during the rest of the week or dedicating times and during the rest of the week, I just do

it all on a Monday, right? Just just like clear the clear the desk, any like any planning, any admin, any like technical things thing. If if something's broken in the business software's broken, something's like I'll just push it all to Monday or like I've got to get back to to people's requests or meeting requests and all that sort of thing. I'm just like, I do it all Mondays.

I just, so whether that's a Monday for you or whether it's a different day is like I have a planning day and it just makes the rest of the week flow loads better, look good because that means the rest of the week, I'm not like thinking about any of this admin stuff, right? The next type of day is my focus days, right? And focus days I have more than than I have any other day. I will have like probably 3,

sometimes four of them a week. And the focus day, that's what I'm focusing on, like what I'm good at, what I love doing, what my zone of genius is, what my unique ability is, the stuff that I know that I do more, that the business grows, the world grows, I'm fulfilled, right? Then my focus days. And then outside of that, I'll have a free day and I actually do I like. So I have 3 days on weekends. Most weekends I have 3, three days.

Like I don't work, I don't plan, but every other week on a Wednesday. So this Wednesday, for example, no work, no nothing. When I say like no work, it's like no planning, no, like journaling, no, like thinking of the future, No, like it's none of that. It's just like I'm taking the whole, I'm taking the whole time off. And I found that structure that like that threesome, that structure to be really, really effective, super, super effective.

And whether you are have a, you have your business or entrepreneur or whether you're in corporate, you can still employ those tactics. OK. And then the next part for this. So like once I have that structure, I then theme. So I theme days. I've been doing this for ages. It's it's mega met. It's so simple, huge, it's hugely powerful. So for me in my, in my world I3I theme days on three different

ways really. I have my content days, I have my coaching days and then I have my calls and calls are things like when I'm talking to I'm doing sales calls or I'm talking to prospects, that sort of thing, right? Content coaching calls, super simple. So all I, I batch all of my coaching, I put it all in one day, right? So every Thursday is why the, the hot seat coaching, I would put it all on that day. If I need to move one, then I'll move one if I need to.

But predominantly it's all on the same time. And part of the reason for that is that then my mindset all that all day is just on that. I'm not like task switching, you know, task switching is like, it's just, it's not good for us when we're trying to get into flow and trying to get things done. We're constantly switching from like I'm doing a coaching call now I'm doing something technical on a website, now I'm talking to a customer over there. What do you know?

It's just like one thing, one thing, one thing. Whereas if you can batch and theme, so you have themes for days and then I have like, I know which days I am creating content and like producing content. Like I have that blocked out in my calendars, particular days. It's and it's highly, highly effective. And then the the last thing that I'll do is time block. So on those days that I have themed, I have three, I have like essentially I have three time blocks of like 90 minutes.

So they are like blocked in my calendar. So I, I know what I'm doing in that time block, but I'm also, it's like I'm setting aside a time to do that particular thing. Time blocking is incredibly powerful. Like 90. I don't really go, sometimes I will go a little bit longer than 90 minutes if I feel it, but 90 minutes, right? Oh, actually, let me there's another thing I do actually, we'll just write that down meetings. So our time lock for 90 minutes and I'll I'll get three of those

done a day. Yeah, I schedule the 90 minute blocks in my calendar. It that that works for me, right? Because because I only take calls with other people on certain days, it means the rest of my week is super. The the I'm I'm like, I've just built my lifestyle around this right. So I, I, my calls are on certain days, so it means I can just block 90 minute blocks in other parts of my week and it's very,

very effective. So when I do that 90 minute block, literally like phone is on, do not disturb, got the music on, I've got no distractions. Just head in the zone. I get you get so much done by doing that. Time blocking is one of the most effective tools that you can do to be productive right meetings. Here's here's my next single meetings is I actually put the majority of my meetings in the afternoon and this is the Thursday when I'm doing coaching all day and I do my I do my

podcasts in the morning. I do content in more than I coach that, but most of my meeting I always put my meetings into the afternoon. That's for me personally is because my, I can just focus better in the morning to get my own work done. I'm just way better. And I'd rather just, I'd rather utilize that for me and then for someone else, right. So I would, I'd probably say 90% of my meetings are in the afternoon.

Like after 12 sometimes if I'm like, do you know what that's, that's, that's an important meeting and I'd like to do that. I'll get it and they can only do the morning. Then we'll do the morning. But for 9% of the time I'm a pretty, I've got a pretty solid rule on that is that most of my meetings have been in the afternoon. It means I've then I've just got a solid morning. It's just blocks just booked, right? And I can just get all my work done.

And then I'm not like, again, like task switching. I've got a meeting there. Because The thing is when, when you've got like when you've got say you've got a meeting at 10:00 in the morning and you're trying to do work beforehand, you are subconsciously thinking about that meeting. You're thinking about, oh God, a thing going on. I need to leave at that time. I need to prepare at that time. You can't. It's, it's hard to fully put yourself into doing some focus work.

So me, yeah, think, think about that for yourselves as well. Life admin Dan. I do it on a Monday. So today. So Mondays are my planning days. And it's like personal and professional, all that, all that like admin stuff just gets done on the Mondays. Think, oh, things like DIY tidying now laundry dude, I don't know if I can do that again. This is this is actually one of my hacks. I pay someone to do my laundry because I hate doing it. It costs it costs £20 or £22.00 right?

And they do my laundry and it's like take it away next day it's delivered literally 24 hours and it's the whole thing's done. It's all ironed. It's all and then I don't have to do it. Same with cleaning my I do not clean my house. I have a cleaner. It's because my time's worth way more than that. Like £20 for something to do my laundry. Take me hours doing that thing right? Cleaning my house. I think it cost me like £60.00 for some for cleaners to come in and clean clean the space.

But they clean the windows, balcony, yada yada yada done. It's like and and you have to and you do you have to think about your time like that guys, if you want, if you're wanting to level, level that up. It's like, how can you be best utilizing my time? Sometimes I don't I'm not working during the time that the cleaners here, but I might just be relaxing. I might be at the gym, might be doing something that's for me. I don't do any of that stuff, even DIY. I like I'll fucking outsource

that. Yeah, they go like Luke's just said, get the who's in your life? Yeah, it's like who, who, who do you need? Who can you get to support you? So yeah, that's, that's that's my share today, guys, I think a little a little bit more tactical. That's like just how I set up my weeks. I get a lot, I get a lot done very and highly effective. And that is one it's one of my zones of genius has been is doing this.

So take what you will and utilize that into your put it into your week or take what take one of those things and put it into your week. See if it makes it more effective for you. Maybe it's a little reminder of the things that you're you were doing already and just slip the net a little bit. There you go a little more tactical this morning for this Monday. Get your weeks planned up, level up, level get maybe maybe it's maybe it's the first week you get cleaner.

Maybe it's time. Yeah, who? Who do you need? Right and team? Have a great Monday. Have a great week. Get it planned, get into action, catch you later.
